Record project status

This tutorial explains how to record the status of a project at certain dates.

Note: Kompass form field labels can be customised for different Kompass instances. Therefore, it is likely that some fields will be named differently in your version of Kompass.

TABLE OF CONTENTS

Step 1a: Recording Project Status - Rate Proposal Items

  1. WHICH? (Find the project): From the "Projects" list page, search for the project you want to change its status, and click the "Rate" button found in the "Status" column.

  2. WHEN? (Set the status date): Select the date you want the status to be recorded on (1).
  3. WHAT? (Works completed on the status date): Enter how many units of each Proposal Item have been completed on the set date (2). See the total valuated amount between previous and current status (3).

Alternatively, you can also set the difference units between two dates if more convenient (1).

Step 1b: Recording Project Status - Lump Sum Proposal Items

  1. WHICH? (Find the project): From the "Projects" list page (1), search for the project you want to change its status, and click the percentage icon found in the "Status" column (2).

  2. WHEN? (Set the status date): Select the date you want the status to be recorded on (1).
  3. WHAT? (Works completed on the status date): Enter the estimated percentage of completion for each Proposal Item that have been completed on the set date (2). See the total valuated amount between previous and current status (3).

Step 2: Browsing Older Status Records

  • Retrieve older status records by clicking the date drop-down menu in the "Previous Status" list.

  • 10% of the first proposal item had been completed on that previous date (1) and 14% of the entire project (2). Completed percentage on the "Status on" is 64% (3). Difference on percentage of completion between the two dates, is 48%.

Change the "Status On" date to calculate differences between status updates. Click the "Status On" box and select a previous status. Previous status records are marked with an orange dot.

You can find extensive information regarding all columns in the project status window in the Reference article Project Status. You will also find troubleshooting articles explaining all Kompass warnings that might appear while recording your project status.

Step 3: Adding notes to your status updates

When recording a status update, you might need to add some notes to recall the reasoning of your status or to communicate with other functions of your organization. For example, in the image below, project manager instructs finance on how much they can invoice for, for proposal items 204134 by using the "Notes" field. You can save a note for each status update of each proposal item.

Summary

This guide offered a run through the process for setting proposal item status, as well as further understanding the columns found in the status form.
