Unit 2 - Users

In Unit 2, we will examine the details and information needed to import all Kompass users. This includes all the employees working in your organization, but it can also include any external users you might want to have access as external users* (such as subcontractors who work with you regularly). This allows you to schedule tasks for them even if they are not direct employees. You can add all requested information in the provided spreadsheet "Kompass_Configuration and Business Processes.xlsx". We only have one item to cover in this Unit: Users.


Users

For all users, we will need a list including first and last name, email, department, and number of annual leave days accrued per year as a minimum. Additionally, we need to know the permissions of those users. Those permissions are normally "Users" and "Managers," but can be further enhanced if needed (for example, a non-manager user might need to be able to edit equipment). Additionally, we recommend including each user’s position, their manager's name, phone numbers, and number of working days.

Some additional notes:

  • User emails will be visible on Kompass. Therefore, it would be prudent to create a corporate email address for all users to protect their privacy.
  • If a user is external, as described above, they should be marked as such in the relevant sheet.
  • Each user needs to have a listed manager sincetheir requests for annual leave/ vacation will be directed to that manager. If there is no manager set in the system, such requests will be forwarded to the user classified as Director.
  • We would suggest including a photo of each employee. It makes the Users page more friendly and allows employees to check on new comers or employees from different departments they do not normally work with.
