Quotes for the same project

Sometimes several clients ask you to quote for the same piece of work, for example when a main contractor and two of its competitors are all bidding for one job. You send each of them a separate quote, but only one of them can win. Kompass lets you link these quotes together as quotes for the same project, so your pipeline and hit rate count the work once, not once per quote.

Depending on your settings, quotes may be called proposals in your account. The steps are the same.

  1. Open one of the quotes and click Edit.

  2. In the quote details, find the Same project field and click Add quotes.

  3. Search for the other quotes for the same project and select them. A quote that is already linked to others shows how many it is listed with.

  4. Choose the Main quote (see below).

  5. Click Save.

Once linked, the Same project field lists the other quotes with their client, so you can move between them. The quotes list also shows a Same project label with the number of linked quotes.

To change the group later, open any of the linked quotes, click Edit, and then click Edit quotes (or Add quotes) in the Same project field. Outside edit mode the field only lets you view the linked quotes. From there you can add more quotes, remove a quote, or choose a different main quote.

Quoting the same work to a new client

If you have already prepared a quote and need the same quote for another client, open it and use Copy for another client. Choose the client and contact, and leave Add to quotes for the same project ticked. Kompass creates the copy and links it to the original in one step.

The main quote

Each group has one main quote, marked with a star. While no quote has been accepted, the main quote is the one your reports use: its price is the project's value in the pipeline, and the project counts once, as one enquiry.

The other quotes in the group are still ordinary quotes that you can edit, send and track. They are simply left out of the figures, so the same job is not counted several times.

The main quote cannot be removed while two or more other quotes are still in the group. Make another quote the main quote first.

When one of the quotes is accepted

Accepting one quote in the group marks the other open quotes as lost, because only one client can win the work. Before you accept, Kompass shows which quotes will be marked as lost. They are given the acceptance date as their lost date, and a note naming the accepted quote.

  • From then on, the accepted quote counts as the won project, with its own price, whether or not it was the main quote.

  • Quotes that are on hold (suspended) are not marked as lost. Kompass lists them so you can decide what to do with them.

  • If you later remove the acceptance, the other quotes stay lost. Reopen any of them by hand if needed.

  • If more than one quote in a group ends up accepted, Kompass shows a warning so you can check which one is the real order.

If every quote in the group is lost, the project counts as lost once, on the date the last quote was lost.

How this affects your reports

The Dashboard figures for enquiries, lost quotes, hit rate and opportunities count each group as one project. Figures for won work, completed work, invoices and payments are not affected, because they measure real work rather than quotes.

Looking at one client: these figures treat the group as one project, not as one result per client, so they cannot tell you how a single client's quotes did. Each quote still keeps its own phase, though: a quote that lost to another client's quote is marked as lost. To see one client's own wins and losses, filter the quotes list by that client and by phase.

Good to know

  • All quotes in a group must belong to the same organisation. A linked quote cannot be moved to another organisation until it is removed from the group.

  • A quote that has child projects cannot be linked. Child quotes themselves can be linked, with each other or with other quotes.

  • A quote can belong to only one group. To move a quote to another group, remove it from its current group first.

  • Locked quotes can still be added to or removed from a group, as this does not change their content.

  • When only one quote is left in a group, the group ends and that quote is counted on its own again.

  • Linking and editing groups needs permission to edit projects and to manage quotes for the same project. If you do not see Add quotes or Edit quotes while editing a quote, ask your administrator.
