Managing Equipment on the Schedule

Move and Reassign Equipment

The Equipment view works differently to the Tasks view. Equipment assignments track which piece of equipment is with which person (or sitting in the office pool) on any given day. Rather than rescheduling across dates, moving equipment means reassigning it to a different person, or returning it to the office, from a particular date onwards.


Switching to the Equipment View

From the Schedule page, click the view selector button (it defaults to Tasks) and choose Equipment (1). The grid switches to show a row per employee (2), with each piece of equipment they currently hold displayed as a coloured block spanning its assigned date range.


At the bottom of the grid there is always an extra row labelled Office (3). This represents the unassigned pool; equipment that is not currently with any specific person.

The Equipment Category Filter

When the Equipment view is active, a toolbox icon button appears next to the view selector. Clicking it opens a dropdown listing all equipment categories. Selecting a category filters the grid to show only equipment belonging to that category, useful when you have a large fleet and want to focus on, for example, vehicles or survey instruments without visual noise from other equipment types. The button turns orange when a category filter is active as a visual reminder.


Selecting All from the dropdown clears the filter and shows every piece of equipment again.

Drag and Drop: Moving Equipment Between People

Enable editing by clicking the EDIT button in the toolbar. In Equipment view, drag and drop is restricted to vertical movement only. You can move an equipment block up or down to a different person's row, but you cannot drag it sideways to a different date. The reassignment always takes effect from the date the block is currently on.


To move a piece of equipment:


  1. With edit mode on, hover over the equipment block until the grab cursor appears on the drag handle.
  2. Drag the block vertically to the row of the person you want to assign it to.
  3. Release the mouse. The assignment is split at that date: the previous person's assignment closes the day before, and a new assignment for the new person starts on that date.

The "Office" Row: Returning Equipment to the Pool

The Office row at the bottom of the grid represents equipment that has no assigned user. It is in the shared pool. You can drag any equipment block down to the Office row using the same drag-and-drop method to unassign it from its current holder and return it to the pool from that date onwards.

Equally, you can drag a block from the Office row upward to assign pool equipment to a specific person.

Quick Edit: Reassigning via the Pencil Icon

In edit mode, hovering over an equipment block reveals a pencil icon. Clicking it opens the Assign Equipment dialog, which shows:

Field Description
Assign to A searchable employee selector. Choose the person you want to assign this equipment to from the chosen date.

The dialog title shows the equipment name and the date the reassignment will take effect from.


To return the equipment to the office pool, simply clear the Assign to field (click the × on the selected name) and save. The hint text beneath the field reads "Keep field empty to assign to the office" , leaving it blank is how you unassign a piece of equipment.

How Reassignment Works Under the Hood

When you move equipment by drag and drop or via the quick-edit dialog, Kompass applies the following logic:

  • If the equipment's current assignment starts on the same day as the drop, the user on the existing assignment is changed in place. No new record is created.
  • If the current assignment started on an earlier date, the existing assignment is closed the day before the drop date, and a new assignment is created from the drop date onwards for the new user (or null for the Office).
  • Adjacent assignments for the same user are automatically merged to keep the assignment history clean.

This means you can move equipment mid-assignment without losing the history of who had it before.


What Requires the "Show on Schedule" Setting

Only equipment with the Show on schedule flag enabled on its Equipment record will appear in the Schedule Equipment view. If a piece of equipment is missing from the view, check that this setting is ticked on the equipment detail page (Equipment → [item] → Show on schedule).


Permissions

Edit mode for equipment requires the add, change, and delete permissions on equipment assignments. Users without these permissions will see the Equipment view in read-only mode, the EDIT button will not be available, and no drag handles or pencil icons will appear.
