QuickBooks Desktop
QuickBooks Desktop itself does not have a direct API admin site, as it primarily operates as a standalone, locally installed application. Users will have to export Kompass's data and import them into QuickBooks.
There are four different methods on importing data. This YouTube video is describing these options: https://www.youtube.com/watch?v=l8cdMJ_rXxQ.
- Excel Files only available for a few datasets
- Batch Entry only available for a few datasets. Plus, the process is quite manual (copy-pasting into QBE)
- IIF Files Available for all sorts of datasets. However, there are numerous factors that need to be taken into account. More on IIF https://www.youtube.com/watch?v=igWt1Y_EZs0
- Third-party solution The most straight forward option. It includes exporting csv files from Kompass and the third-party solution will do the rest, i.e., we won’t have to run a spreadsheet and then copy paste the values into a csv, rename to .iif etc. These solutions come with a cost. One option we have worked with, is https://www.zed-systems.com/axis-buy.html. There are more solutions found here: https://desktop.apps.com/home. We will be running the mapping for you.
Working with ZedAxis
Make sure you have your QuickBooks Desktop open. Upon opening your ZedAxis, select "QuickBooks Desktop" (1) and click "Connect" (2).
Once connected, click the "Import" tab (1). Kompass will create a file for you that will be exporting all Kompass data to a QB friendly format for you to import. Click "Browse" and find the file (2). If the file has more than one sheets, you will have to select the one that you are about to use for importing at the "Excel Options" dropdown menu under the "Browse" button.
The first time you will use ZedAxis, you will have to create a mapping option. Click "Select Mapping" (3) and "Add New Mapping". A new window will appear. Make sure you will select the correct "Transaction Type" (4). For example, "Invoice" if you are importing invoices, "Customers" if you are importing projects, "Estimates" if you are importing the price of each proposal item etc.
Depending on the transaction type you will pick, you will then have to map the available columns in the file and sheet you have selected on step 2. The "QuickBooks" column contains all available fields you can use while the "Import data column" lists all available columns in the selected sheet. A data preview can be seen in the last column. (5)
When ready, click "Save". Remember, you will only have to set the mapping once and then you'll be selecting it from drop down menu on step 3. When ready, select the mapping (3) and click "Import". (6)
