How can I quickly create projects?
Intro
Depending on the size of your organization and how you manage your projects, you might track them on a spreadsheet. This means that a new project can be rapidly created by simply adding a name, a client, and a price on a new row. However, comparing this method with Kompass, it is true that Kompass introduces more steps to create a project. These steps are necessary, though, to allow the project to connect with all other supporting datasets such as timesheets, invoices, payments, expenses, schedule view, and the dashboard.
In this tutorial, we will attempt to create projects in the fastest possible way.
First steps
To begin, there are some steps that you will have to follow once you will be setting up your Kompass account:
- Create an organization with your company's name. That will allow you to save all the template proposals you will be creating under that entry.
- Make a list of all the templates you will need to create. Some of our customers have templates per state or per department.
Creating a template proposal
It is always helpful to have a template proposal set. It will be created once and then it will be copied as a new proposal.

Name your template appropriately and select your organization as the client. You might want to add the location of your company at the map. Also, make sure you will add description for the works to be carried out. These descriptions will then be available for your clients (when exporting a proposal document) and to your team (when handing over to operations).
Then head to "Sales" tab of your project and create all relevant proposal items.
For each proposal item, include all staff you're normally appointing to such works.
Finally, add the correct department and service along with the set GM%.
Copying templates and creating new projects
To create a new project out of a template proposal, we'll have to ask the following questions:
- What
- Who
- Where
- How many days
Head to your Proposals page (1), "Enquiries" (2) and select the template proposal you want to create a project from (3).
Click "Actions" (1) and "Copy Project" (2).
Click Edit and then go through the steps below:
- What: change the name of the project.
- Who: change the client name.
- Where: locate the site and drop a pin.
click "Save".
Head to "Sales" tab and select the proposal item you want to charge your client for.
Define How many days (1) you will need to complete those works.
Ensure your GM% is correctly set following the change of budgeted hours and days.
Click "Save".
Turning a proposal to a project
In the sales tab, select the proposal item/s that have been accepted (1), click "Actions" (2), and "Set Accepted" (3).
Select the project manager of the project and click "Save".
You can fill more data in the "Set Accepted" window should you want to.
