Edit an existing organization

Steps

  • Go to the Organisations page. Notice there are Contacts, Proposals & Projects, and Conversion columns associated with each organisation. Conversion is the percentage of proposals that were accepted (won) out of all proposals ever created for that organisation. Click the name of the organisation you want to edit.

Note: By default, the list only shows active organisations. If you cannot find the organisation you are looking for, it may be set as inactive. See the Closing and Reopening an Organisation section below for how to show inactive organisations.

  • Click Edit and make the necessary changes. You can update fields including the organisation name, type, classification, account manager, address, and contact details. When you have finished making changes, click the Save button in the top right corner.

  • Note that the Delete button may be greyed out. This happens when the organisation has associated records, such as proposals, projects, contacts, or invoices, and cannot be deleted to protect the historical data. If the organisation has ceased to exist but cannot be deleted, you can mark it as inactive instead. See the Closing and Reopening an Organisation section below.

Closing and Reopening an Organisation

Why close an organisation instead of deleting it?

When an organisation has projects, proposals, contacts, or invoices associated with it, Kompass prevents deletion to protect the historical record. The Delete button will be greyed out in these cases. Instead, you can close the organisation by setting an Inactive date. This marks the organisation as no longer active without removing any of its historical data.


A closed organisation:

  • Is hidden from the default organisation list (filtered out automatically)
  • Cannot be selected when creating new projects or proposals
  • Retains all its existing projects, contacts, and financial history
  • Can be reopened at any time by removing the Inactive date

How to close an organisation

  1. Open the organisation's detail page and click Edit.
  2. Find the Inactive field and enter today's date (or the date the organisation became inactive).
  3. Click Save.

The organisation will now show a red Inactive badge next to its name in the list and will be excluded from the default view going forward.


How to reopen an organisation

If an organisation that was previously closed needs to be made active again, for example, if a client returns with new work, or if the inactive date was set by mistake, follow these steps.


Step 1: Show inactive organisations in the list

By default, the organisations list only shows active organisations. To find a closed organisation, open the Settings panel (the filter icon at the top right of the list) and change the Status filter from Active to All or Inactive. Click Apply. Inactive organisations will now appear in the list, identified by the red Inactive badge next to their name.

Step 2: Open the organisation

Click the name of the inactive organisation to open its detail page.


Step 3: Remove the Inactive date

Click Edit, then clear the Inactive field by clicking the × on the date. Click Save.


The organisation is now active again and will appear in the default list view. It can be selected when creating new projects and proposals.
